Troubleshooting Install and Uninstall Problems ================================================= Installing with CD-ROM on Windows 95 and 98 =========================================== If the "New Hardware Found" screen displays, close it by clicking the X in the upper right corner or click on the Cancel button. Insert the HP OfficeJet CD into the CD-ROM drive, or if you have floppy disks, insert Disk #1 into the floppy drive. If you're installing from the CD, the HP OfficeJet installation screen will be displayed after a few seconds. If you're installing from a floppy disk, choose Run from the Windows 95 Start menu, then type a:\setup.exe where "a:" represents the letter of the floppy drive. Click OK. Note: Floppy disks are not available in all locations. If you don't have a CD-ROM drive, you can download the driver from the web site at: http://www.officejet-support.com/oj700 Unable to install or uninstall ============================== If you encounter errors or problems during install or uninstall, it may be possible to get to a state in which neither installation or uninstallation is possible. To remedy this, take these steps: 1. If you have not rebooted or restarted Windows since you encountered the problem, try this first. Re-run "setup.exe" from the HP OfficeJet Series 700 CD-ROM or installation floppy disk #1 and proceed with the install or uninstall. 2. If restarting or rebooting does not work, take the following steps: Important: If, after reading the rest of this document, you are not comfortable following these directions, call HP Support for assistance. The HP Support phone numbers are located in your HP OfficeJet Series 700 More Information Guide. a) From the Windows 95 Start menu, Run command, type "regedit.exe". b) Double click on HKEY_LOCAL_MACHINE Double click on Software Double click on Hewlett-Packard Double click on OfficeJet Series 700 Single click on Install Look at the value of InstallState. To enable installation, set the "InstallState" value to "0". To enable uninstallation, set the "InstallState" value to "1". Set InstallState value by clicking on InstallState, Selecting the Edit, Modify menu item. Enter the new InstallState value and select OK. Close regedit by clicking "x". c) Restart Windows or reboot your PC. d) Re-run "setup.exe" from the HP Series 700 CD-ROM or installation floppy disk #1 and proceed with the install or uninstall. Insufficient free space to install the software =============================================== The HP OfficeJet software requires a minimum of 35Mb of free disk space to install. (Significantly more disk space is needed to use all the color features of scanning, faxing, and printing.) 1. If you have only one hard drive, your only option is to remove other files to make enough free space for the software. 2. If you have two or more hard drives, you may install the software to an alternate location on another hard drive. Use the "Change..." button in the installation to choose an alternate installation location. However, the HP OfficeJet software requires some files be located in the Windows and Windows system directories, and the hard drive that contains the Windows installation may not have sufficient free space to enable an installation. Again, your only option is to remove other files to make enough free space for the software. Re-installing the software ========================== If you are trying to re-install and see the following message: "HP OfficeJet Series 700 software has been uninstalled, but the computer has not been rebooted. Please reboot before installing the HP OfficeJet Series 700 software" first be sure that you have rebooted your system. If you continue seeing this message when you try to re-install, search on your hard drive for the file "unstall.hpi" and delete it. Then try re-installing again. Using Norton System Doctor ========================== If Norton System Doctor displays a "CRASH" window during installation, close Norton System Doctor and try the installation again. Other installation problems =========================== It is recommended that you close all programs, including virus checking software, before installing your HP OfficeJet Series 700 software. ***************************************************************** B. ECP and Bi-directional Interfaces ==================================== What does bi-directional do for my HP OfficeJet Series 700? =========================================================== The typical printer only receives information from the computer. This is a one-way transaction. A multi-function peripheral such as the HP OfficeJet Series 700 can also send information to the computer. To send information back to the computer requires a two-way or bi-directional interface. Switchboxes and Sharing the Parallel Port with Other Devices ============================================================ Although your HP OfficeJet Series 700 is designed to tolerate disconnections and reconnections to the PC, it does not support sharing the parallel port with any other device. It is strongly recommended that you have each product on its own port (e.g., LPT1, LPT2, etc.). Attach your HP OfficeJet Series 700 directly to your computer's parallel port using an IEEE 1284- compliant cable. Do not attach your HP OfficeJet Series 700 to the pass-through port of another parallel product such as a CD-ROM drive, tape drive, Zip(TM) drive, or external hard disk. Using a Parallel Port switchbox may lead to problems using the OfficeJet Series 700 and/or any other printer connected to the same Parallel Port through the switchbox. If you do want to use a switchbox, it is recommended that you install your OfficeJet Series 700 software using the installation option titled "Install the HP OfficeJet Series 700 software on your PC if it is a notebook PC or if you will frequently disconnect the HP OfficeJet from your PC." And if at any time you run into problems using your OfficeJet or the other printer, reboot your system and try again. NOTE: Many switchboxes and cables are not IEEE-1284 compliant. This means that they do not implement all of the signals required for bi-directional communications. It is recommended that you use an IEEE-1284 compliant cable. For information on known IEEE-1284 switchboxes, refer to the HP OfficeJet Series 700 website - http://www.officejet-support.com/oj700 Centronics(r) or Standard Parallel Port (SPP) (minimum) ===================================================== The HP OfficeJet Series 700 can carry out bi-directional communication on most standard parallel ports. However, the parallel ports of some PC models do not implement all of the signals required for bi-directional communications. Data transfer rates are lowest in this configuration, particularly when the HP OfficeJet Series 700 is transferring data to the computer. This has the greatest impact on scanning and copying. Bi-directional (better) ============== The bi-directional interface configuration may slightly improve the data transfer rate on some computers. The electrical characteristics of the port in this configuration are better suited to bi-directional operation than the Centronics (SPP) configuration. Extended Capabilities Port (recommended) ========================== The Extended Capabilities Port (ECP) is a particular type of bi-directional interface established by the IEEE-1284 standard. If your computer has ECP capability, scanning will be faster than using a plain bi-directional interface. Scanning speed depends also on several other factors such as whether your computer is a Pentium or 486, the amount of RAM installed in your computer, hard disk space, etc. An ECP port will give a greater speed improvement on a 486 computer since a Pentium is already a much faster processor. This improvement can be 1-4 times faster than non-ecp (enhanced) ports. Using an IEEE-1284 parallel cable ================================== In order for the bi-directional interface of your HP Printer/ Scanner/Copier Series 700 to work properly, you must use an IEEE-1284 cable. Your cable must have "IEEE-1284-1994 compliant" stamped on it and must not be longer than 3 meters. Important: If, after reading the rest of this document, you are not comfortable following these directions, call HP Support for assistance. Turning on bi-directional or ECP ================================ To check the computer itself for bi-directional and/or ECP mode, you must check the system configuration, also known as BIOS, CMOS, or hardware configuration. There are instructions later in this document which may help you to check this and change the setting. You can also check your computer documentation or contact your computer manufacturer for assistance. NOTE: If there is a choice between DMA1 or DMA3, select DMA3 since it is less likely to conflict with other devices. Buying an ECP card ================== You can buy a card to install in your computer to add a parallel port. If you plan to do much scanning and your computer doesn't have ECP mode or if you need to attach more than one parallel product, we recommend that you purchase a parallel port I/O card to add an ECP port to your computer. Hewlett-Packard suggests the following cards. Suggested cards: Important: I/O is an intricate subject and some cards won't work with some computers. When you buy a card, make sure you can return it if it doesn't work with your system. +SIIG IO-1809 [but not the IO-1818] High Speed I/O, I/O Professional (includes 2 extra serial ports) +Promise Tech Pro Accessing Your Computer's Setup Information =========================================== To change the bi-directional or ECP setting of your parallel port, you must access your computer's setup information. Depending on the computer manufacturer, the information may be located under something called Setup, Configuration, CMOS, or BIOS. Common methods of getting into the Setup are: +Pressing a key such as F1, F2 or Delete at a particular point in the startup process. +Restarting your computer using a special set of keys such as Ctrl-Alt-Esc. +Having a special startup diskette that puts you into the Setup. Once you get into the Setup program, you should be able to locate a section for your parallel port and use keys such as left/right arrow or F7/F8 to change settings. If you cannot get into your computer's configuration utility or need assistance changing your settings, contact your computer manufacturer for assistance. If one of the first words you see is Phoenix, Award, or AMI (in the upper left corner of your screen) that is the type of BIOS you have. with Phoenix BIOS 1. If you are in Windows, exit to DOS. 2. Press Ctrl+ALT+Esc. If this doesn't work, follow these steps. 3. Leave the computer turned on and use the key to lock the keyboard. 4. Press the Reset button on the front of the computer. A message will display asking you to unlock the keyboard. 5. Unlock the keyboard and press F2. with AMI or Award BIOS 1. Press the Reset button on the front of the computer. Watch the screen. After the memory count is complete, a message appears about pressing Delete to enter the setup program. 2. Press Delete. After a few moments a menu appears on the screen. 3. Move the highlight bar to RUN CMOS SETUP and press Enter. If you are prompted to choose Standard or Extended setup, choose Standard. an EISA computer Press the Reset button on the front of the computer, then press Ctrl+Alt+Esc immediately when the memory count begins. EISA bus computers usually require a separate diskette or CD-ROM to permanently change the system configuration. If Ctrl+Alt+Esc doesn't work, try Ctrl+Alt+S. Hewlett-Packard www.hp.com HP Vectra 1. Reboot your computer. 2. When the bottom of the Hewlett-Packard System Hardware Test screen displays, press F2. 3. Use the arrow keys to highlight Parallel Port Mode. 4. Use F7 and F8 to switch settings. Set to Bi-directional ECP, if available Bi-directional, if necessary HP Pavilion 1. Choose Start, Shut Down, and Restart. 2. At the HP Blue screen, press F1 to enter CMOS. 3. Use the arrow keys to highlight the appropriate setting. 4. Press F10 to Save and Exit; press Enter. IBM www.ibm.com Aptiva 1. Reboot using one of these three methods a) Press ctrl-alt-del. b) From Windows 95, click Start, click Shutdown, choose Restart, click Yes c) Turn off computer, wait 30 seconds and turn back on. 2. When you see the Blue IBM screen and memory counting, press F1 to enter the configuration utility. 3. Once you're in the configuration utility, you will see many choices. a) Use the up and down arrow keys to highlight parallel port mode. b) Use the left and right arrow keys to switch choices until Extended Capabilities Port (ECP) mode is highlighted, then press Enter. Micron www.micron.com with Phoenix BIOS 1. Reboot using ctrl-alt-del or the Reset button. 2. During the POST test (memory count) press F2. Getting a BIOS upgrade from your manufacturer ============================================= If your computer has an ECP mode that is turned on and you are still having problems getting ECP recognized, your computer may need a BIOS upgrade. Check with your computer manufacturer. For example, the HP Vectra XU 5/90 may require a BIOS upgrade for its ECP mode to work properly with the HP OfficeJet Series 700. The BIOS upgrade for the HP Vectra XU 5/90 can be downloaded from HP's web site at www.hp.com. If your manufacturer does not provide a BIOS upgrade to resolve this ECP incompatibility, call HP Support for assistance. The HP Support numbers can be found in the HP OfficeJet Series 700 User's Guide. ***************************************************************** C. Using with PCs supporting Power Management ============================================= PCs supporting Power Management can be configured to go into a low power state (go to "sleep") when they are not used for some period of time. Your OfficeJet can not communicate with your PC when it is in this low power state. That is, while your PC is in this state, the OfficeJet will not receive faxes in color or receive faxes directly to the PC (faxes will be printed instead). And depending on your PC, other functions may not work properly when the PC returns to its normal state ("wakes up"). If you wish to use the Power Management feature of your PC, it is recommended that you install using the option "Install the OfficeJet Series 700 software on your PC if it is a notebook PC or if you will frequently disconnect the HP OfficeJet from your PC." If you wish to turn off the Power Management feature of your PC, consult the Windows help information regarding "Power Management" and/or the documentation for your PC. More recent information regarding Power Management may be found on the Hewlett-Packard OfficeJet Series 700 WW Web Site - http://www.officejet-support.com/oj700 ***************************************************************** D. Printing Application Notes ============================= At the time the HP OfficeJet Series 700 printer driver was released, the following software application limitations existed: When a print job is cancelled from the Windows spooler, the HP OfficeJet Series 700 will continue to print the current page. All remaining pages will be cancelled. If you press STOP from HP OfficeJet keypad to cancel printing there will be a slight pause before printing is stopped. DOS Printing: Your HP OfficeJet Series 700 does not support printing from DOS, printing from DOS applications, or printing from a DOS box within Windows. QUICKEN 5.0 When Quicken is installed, documents are printed in black and white by default. To produce color output, modify the report and graph printer setup by going to: File/Print/Printer Setup/ Report & Graph Printer Setup and select "Print Reports and Graphs in color". MICROSOFT EXCEL 7.0 Some fill patterns may not print correctly. AMIPRO 3.1 Envelopes feed and are kicked out without printing. The Print Envelope function does not work with the HP OfficeJet Series 700. To print on an envelope use the standard Print.. function and select Landscape orientation and the appropriate envelope size in the paper size setting. OMNIPAGE LIMITED Unable to print from this application under Windows NT. LOTUS FREELANCE GRAPHICS 97 Print properties do not work under Windows NT. To change the print properties for this application, click Start, then Settings, then Printers and then right-clicking on the OfficeJet Series 700. Select Document Defaults and change the desired settings. BRODERBUND FAMILY TREE MAKER Print properties do not work under Windows NT. To change the print properties for this application, click Start, then Settings, then Printers and then right-clicking on the OfficeJet Series 700. Select Document Defaults and change the desired settings. Windows Application Notes ========================== The HP OfficeJet Series 700 printer driver stops printing and displays the message: "Error writing to LPT1" when processing a line of print that extends far beyond the printable region width. If your application displays this error when trying to print, check the document width by scrolling to the right and reduce the width if possible. ***************************************************************** E. Faxing Topics ================ Using Telephone Calling Cards ============================= The HP OfficeJet Series 700 fax software automatically places the recipient's fax number on the cover page. If the software finds four or more pauses after the 8th digit of the fax number, it will not include anything following the pauses on the cover page. This is an attempt to prevent calling card numbers from being included on the cover page. Be sure to use commas (,) to represent pauses. If you are using a calling card and have specified your calling card number as part of the fax number to be dialed, you should preview your fax before sending it to be sure the calling card number is not on the cover page. Station ID's ============ Almost all standard fax machines have a Station ID capability; this is not necessarily true of computer fax modems. If your OfficeJet connects to a fax machine or a computer fax modem that does not have this capability, the Station ID will not be displayed on your Fax History. Cover Pages =========== The cover page selection dialog box displays a small preview box of the selected cover page. If you select a cover page that you created, the preview box will be empty. To preview the cover page, select Preview Fax from the Send Fax dialog. Cover sheets that have embedded bitmaps which point to a file that does not exist will cause faxes sent with these cover sheets to fail. When you create a cover sheet and embed a bitmap, if you receive an error message about the file not existing, correct the problem before using the cover sheet. Do not create coverpages with an extremely low contrast (between -100 and -80); these may cause problems when received and viewed. If you uninstall the OfficeJet Series 700 software, keeping the coverpages, and later re-install the software to a different location, your previously saved coverpages will point to the wrong location for fax information. When you open the coverpage, you will receive an error saying the requested file was not found. You can correct this problem by right clicking in the image area and selecting "properties", then click on the "Browse" button to locate the desired image file. The message area of the cover page does not display the text as it is actually formated on the cover page. To confirm that your entire message will fit onto the page, choose Fax Preview before sending the fax. When you send a fax in color, your OfficeJet Series 700 will first attempt to send it in color. If it detects that the receiving fax machine does not support the standard color fax protocol, it will display a message and then automatically resend the same fax in black and white. If you do not see the message, either because you were busy in another application or you were away from your PC, you may not notice that it was resent in black and white. To check whether your fax was sent in color or black and white, check in the fax log. (To find the fax log, bring up the OfficeJet Series 700 manager, click on the "Settings" button, and then select "Fax Log".) Your OfficeJet Series 700 can do many things at once. So if you want to cancel an operation, be sure to check the current status of the device to ensure you are not canceling the wrong operation. For example, if you have multiple print jobs spooled, the device is currently printing one of the jobs, and you receive a color fax, entering cancel multiple times may cancel the color fax that you are receiving. If this happens, you will see that the fax appears to have been received successfully in the fax log, but if you attempt to view the fax, you may receive a message saying there was an error finding the data for this fax. You can find the fax file manually by the following procedure: 1) Search for the directory "faxes" under the directory that you installed your OfficeJet Series 700 software. (The default installation location is c:\Program Files\HP OfficeJet Series 700) 2) Find a directory beginning with the letter "R" that has a time and date closest to the time you received the fax (which you can find from the entry in the fax log) 3) Open the file (or files) in this directory using the OfficeJet Series 700 viewer. (You can load the viewer by executing the file HPOVWR03.EXE found in the bin directory where you installed the OfficeJet Series 700 software.) ***************************************************************** F. Scanning and Viewing Images ============================== The HP OfficeJet series 700 scanning software uses the TWAIN standard to scan directly into an application, allowing you to add images directly into an open document. When scanning a document in grayscale, each page will require 8 Mbytes of memory. A color image may require up to 24 Mbytes of memory. Your application may copy the page many times requiring a large amount of memory. Make sure that you are not running other programs at the same time using additional system memory. The speed of starting and performing viewer operations depends on the size and resolution of the image. Larger images and images at larger resolutions will slow down viewer performance. Using a display mode of 256 colors will result in images appearing in the image viewer with poorer quality. It is recommended that you use a higher color palette such as high color or true color when using the scan viewer. It is recommended that you use a display resolution ("Desktop Area") of 800 X 600 pixels or more when using the scan viewer. Color and grayscale scanning is limited to a single page. If you want to scan a multi-page document in color or grayscale, you must scan each page separately. Multi-page documents can be scanned and saved in black and white, bi-level (text setting). The HP OfficeJet scanner always scans across the entire width of the scanner. If you print this image without cropping, the image will not fit within the printer's printable area. The HP OfficeJet print driver will not print to the outer edges of the paper. Space is provided for margins. For this reason, the viewer software automatically reduces your image to fit within the printable region. To eliminate this auto-reduction, you must crop (or trim) your image in the viewer software before printing. The image must be cropped about 5-8%. Scan settings which cause the image to be automatically cropped and straightened (e.g., "Photo Only") limit the length of the scanned document to legal size paper. By changing the custom scan settings to "Do not Crop/Straighten" you can scan documents up to 22 inches in length. When saving an image in the viewer software, using Save As, you can type in a file suffix in the file name field that does not match the suffix in the "file type" field. The suffix typed as part of the file name will be used if it is valid for the internal format of the file, and its name. If no suffix is specified as part of the file name, the viewer will use the file type suffix, or if not specified the viewer defaults to type TIF. Note that due to different and sometimes incompatible versions of these file formats, your application may not be able to read a file saved by the viewer software. If this happens, save the image using a different file format that your application can also read. The COPY TO function only works with application programs that accept bitmap images. If you need to transfer an image to an application that does not support bitmap images, save the image to a file and then open or import the file. Scanning Application Notes ========================== At the time the HP OfficeJet Series 700 software was released, the following scanning software application limitations existed: COREL PRINTHOUSE 1.1 Stopping a scan in progress will cause Corel PrintHouse 1.1 to hang. Do not stop a scan in progress, wait for the entire document to be scanned. Grayscale scans in Corel Printhouse 1.1 fail if the scan resolution is set to 300x300 DPI or 600x600 DPI. 200x200 and 150x150 DPI scans are processed without any problems. COREL PRINTHOUSE MAGIC 3.0 TWAIN scans (Acquire Image) fails with a system error in Corel PrintHouse Magic 3.0 on Windows NT using service pack 3. To enable TWAIN scanning with this application, either remove service pack 3 or upgrade to a more recent service pack. MICROSOFT WORD 6.0 Cannot open .TIF, .JPG or .GIF files saved by the HP OfficeJet series 700 viewer software. .PCX and .BMP open successfully. Word 7.0 can open all the viewer image file formats. TEXTBRIDGE PRO Grayscale scanning will cause a GPF. This application does not support grayscale. Be sure to select black and white scanning only. PAGIS PRO SCAN Acquire image in Black and White at 75 or 100 dpi is not supported. Use a higher resolution in Black and White. ***************************************************************** G. Scanning to E-mail Notes =========================== Scan to E-mail is supported only for MAPI-compliant e-mail applications and America Online versions 4.0 and 3.0 (32 bit version only) If you upgraded from Windows 3.1 to Windows 95 and have not yet re-installed America Online since the upgrade, you will need to do so before using Scan to E-mail with America Online. To ensure Scan to E-mail works, be sure to install the 32 bit version of America Online. If you do not use America Online, you will need to configure your e-mail application to work as a MAPI client. After your driver has been downloaded, follow these simple steps to install it.
Expand the archive file (if the download file is in zip or rar format).
If the expanded file has an .exe extension, double click it and follow the installation instructions.
Otherwise, open Device Manager by right-clicking the Start menu and selecting Device Manager.
Find the device and model you want to update in the device list.
Double-click on it to open the Properties dialog box.
From the Properties dialog box, select the Driver tab.
Click the Update Driver button, then follow the instructions.
Very important: You must reboot your system to ensure that any driver updates have taken effect.
